    If a candidate has not used your system, we tell you before you interview them, and you decide whether to train them. We do not train VAs on client systems. That sits with your team.

    What you need to know before you start

    Our VAs work from home in the Philippines on their own equipment, with a primary internet connection and a backup. They are not on company-managed devices and they are not in a controlled office environment.

    Access controls, multi-factor authentication, audit logging and any restriction on downloading or storing patient information sit on your systems and are configured by you. We recommend giving your VA an individual account under your own practice login, with the minimum permissions the role needs.

    As a health service provider you remain responsible for your obligations under the Privacy Act, including where personal information is accessed from overseas. Our insurance does not extend to those obligations.

    Before you engage anyone offshore, we strongly recommend you:

    • Confirm with your medical indemnity, professional indemnity and cyber insurers that offshore access to patient records is covered. Many policies exclude it or require it to be disclosed.
    • Check with your practice manager whether your Medicare claiming channel can be provisioned to a person based outside Australia. PRODA identity verification generally relies on Australian identity documents.
    • Get specific advice before allowing any access to My Health Record.
    • Check how your accreditation standards treat offshore access and remote staff.
    • Review your privacy policy, which may need to disclose that personal information can be accessed overseas.

    Some candidates do and some do not. We advertise every role in the Philippines and our HR manager vets applicants against the systems and experience you specify. You see each candidate's actual background and a video introduction before you interview. We will not tell you a candidate has experience they do not have.

    We recruit and screen specifically for these. Whether a given candidate knows your exact system depends on who applies, and we tell you either way. If they have not used it, your team trains them.

    Check this with your practice manager before assuming it is possible. Medicare claiming channels generally require identity verification through PRODA, which relies on Australian identity documents. It may be that claiming stays with your onsite team while your VA handles everything around it.

    Every VA signs a confidentiality agreement with us and privacy is covered in onboarding. But you remain the health service provider and the obligations under the Privacy Act stay with you, including for information accessed from overseas. Our cover does not extend to your obligations. Please read the 'Before you start' section above and take your own advice.

    Yes, through your telephone system. If you provide a softphone licence and access, your VA can operate as another extension, take bookings and reschedules, and escalate anything clinical to your team immediately. The telephony is yours, not ours.

    From home in the Philippines, on their own computer, with a backup internet connection. We screen for setup and connection quality. If your compliance position requires a managed device or a controlled office environment, we are not the right fit and you should look at a BPO with a secure facility.

    One monthly fee plus GST covering the VA's pay, health insurance, public indemnity and privacy cover, and our management. No super, no payroll tax, no recruitment fee. Cost moves with experience, so we put a price against each candidate on your shortlist rather than quoting a number up front. All figures are all-inclusive (incl. GST) and indicative, exact rate confirmed on a discovery call.

    Fourteen days written notice to cancel, in writing, at any time. There is no lock-in contract and no fixed term. To be clear, this is a notice period rather than a free trial.
